Planning Stage: Work with client to obtain quality vendors that best fit into the vision (invitations, photographer, videographer, montage, DJ, linen, rentals, décor, lighting, security, transportation, dance floor, entertainment, catering, etc…) Schedule vendor meetings with the client & attend to ensure the highest level of professional service. Negotiate vendor contracts Create a detailed event itinerary Create vendor contact sheet 1-2 Weeks Out: Meet to review the final itinerary and any event changes. Also collect supplies needed for use on the event day Distribute itinerary to necessary vendors Confirm all vendor commitments, arrival times & details At the Reception: Greet and supervise vendors Oversee set-up of décor Verify the proper set-up of tables Set-up of place cards on registration table Distribution of all items that will be displayed / distributed Greet and direct your guests Cue musicians, ensure they are comfortable with the timeline and have the correct musical selections Assist the photographer as needed Verify that your selected vendors have proper electricity, staging, parking validations & vendor meals Ensure the reception area décor is as you wished before allowing guests to enter Prepare the MC & family for the grand entrance See to it that you and your family’s every need is catered to Supervise and communicate with the chef, banquet captain and catering staff to ensure excellent and timely meal service Prep and cue everyone scheduled to give toasts Handle any emergencies or unexpected occurrences Keep the reception running on schedule Provide on-site emergency kit Distribute final balances and gratuities to vendors on your behalf Secure all gifts and personal items with the caretaker of your choice Ensure proper wrap-up at the end of the evening.
